Goods Receiving Supervisor
Cashbuild is looking for a meticulous and organised Goods Receiving Supervisor to join our team in Holfontein, South Africa. In this role, you will be instrumental in ensuring the efficient and accurate processing of all incoming stock, playing a key part in our operational success.
Key Responsibilities
Stock Receipt and Processing:
- Oversee the accurate receiving and returning of stock to and from suppliers and other Cashbuild branches.
- Ensure a second designated Cashbuild employee is always present during the receiving or dispatching of stock.
- Verify received stock against supplier invoices, delivery notes, and Cashbuild purchase orders, ensuring physical quantities match documentation.
- Process proof of delivery notes, ensuring they are correctly signed and stamped by supplier representatives.
- Accurately capture all receiving data onto the IT system within the prescribed timeframes.
- Manage and resolve any discrepancies on invoices, ensuring amendments, endorsements, and necessary authorisations are obtained from supplier representatives.
- Accurately record the registration number of supplier trucks on invoices where applicable.
- Process all inter-branch transfers (IBTs) both inbound and outbound within set time periods, ensuring accuracy and proper filing of all related documentation.
Stock Management and Distribution:
- Ensure all stock received is promptly cleared from the goods receiving office and merchandised on the floor within designated time limits.
- Label all stock accurately with the appropriate SKU where not printed on packaging, and verify the correctness of pre-printed SKUs, rectifying any errors.
- Adhere strictly to Cashbuild’s pricing policy and action pending price changes as per company procedures.
Supplier Claims and Corrections:
- Validate all supplier claims, ensuring necessary documentation such as pick-up slips or credit notes are attached to adjustment vouchers and authorised by the Store Manager.
- Ensure any stock corrections are supported by the required documentation and authorised by the Store Manager.
- Raise supplier claims only when stock is scheduled for immediate collection.
Security and Workplace Standards:
- Maintain a secure receiving area by ensuring the receiving gate is not left unattended when open.
- Securely store the receiving stamp and purchase order delivery book in a lockable cupboard or drawer.
- Keep the goods receiving office door locked when not in use.
- Ensure supplier truck crews remain at their vehicles and do not loiter around the store.
- Maintain a clean and tidy goods receiving office and ensure the receiving area is free of excess or damaged stock, except for items awaiting return to suppliers.
- Adhere to all Cashbuild’s “Ready for Business” and “Beyond My Control” processes.
Customer Service and Safety:
- Adhere to the Cashbuild dress code and ensure your name badge is always visible.
- Assist with supplier queries and provide exceptional customer service to any individuals interacting with the goods receiving function.
- Ensure the first aid box is only accessed by authorised personnel.
- Maintain safety and OHASA compliance within your area of responsibility and report any concerns to the Store Manager.
Qualifications and Experience
- Grade 12 qualification with at least one year of relevant experience, or a minimum of two years of related experience.
- Ability to communicate effectively in English. Proficiency in the dominant language spoken in the geographical area is preferred.
- Above-average numeric skills.
- Proven ability to provide exceptional customer service.
- Demonstrated ability to work effectively under pressure.
- Computer literacy is essential.
- Willingness and ability to work shifts and weekends.
