About the Role:
We are seeking a highly skilled Tender Manager to support the Sales Director and Sales Team in managing all tender submissions and associated administrative processes. This role also serves as the National Administrator for Contract Logistics within MS Dynamics CRM.
Minimum Requirements:
- Matric certificate
- Diploma or degree advantageous
- Advanced computer literacy: PowerPoint, Word, Internet
- Experience using MS Dynamics (advantageous)
Experience & Skills:
- Minimum 7 years’ experience working with management or sales teams
- Excellent written and spoken English
- Proven experience developing sales collateral
- Ability to train and support users in MS Dynamics
- Highly organized, deadline-driven, and able to perform under pressure
- Previous experience as Executive Assistant, Personal Assistant, or similar role
- Excellent time management and communication skills
- High level of professionalism and confidentiality
Main Purpose:
Manage and coordinate all tender activities, ensuring timely and compliant submissions while supporting the Sales Director and Sales Team with content creation, CRM administration, and overall tender strategy.
Key Responsibilities:
Tender Management:
- Project manage resources within the Tender Team to execute tenders effectively
- Schedule and coordinate tender response meetings
- Track progress, identify risks, and ensure timely submissions
Content Management:
- Coordinate with stakeholders to create compelling content for external marketing
- Review, approve, and release content across defined platforms
- Engage with subject matter experts, copywriters, designers, and media teams
Divisional Tender Management:
- Package tender sections for commercial, technical, and contractual compliance
- Ensure proper sign-off and legal compliance
- Track and monitor tender submissions and award status
- Document post-tender evaluations, lessons learned, and milestones
Cross-Functional Tender Execution:
- Support cross-silo tenders with meaningful content
- Proof and format submissions prior to deadlines
- Resolve challenges and manage cross-functional teams across divisions
- Act as primary point of contact for tender inquiries until contract award
- Ensure alignment of value proposition and oneDSV solutions
Sales Collateral Development:
- Review and develop content based on tender trends
- Extract intellectual property from SMEs to enhance content
- Maintain up-to-date company documents, certificates, and presentations
- Ensure adherence to brand identity across all materials
CRM & MS Dynamics Responsibilities:
- Manage user licenses and access for MS Dynamics
- Onboard and train new users, perform refresher sessions
- Provide 1st level support to users, troubleshooting issues and escalating as needed
- Drive adoption and ensure data quality within MS Dynamics
- Assist with reporting, dashboards, and system testing
