Job Overview
The Dispatch Supervisor is responsible for overseeing and coordinating all dispatch operations within the warehouse or distribution facility. This role ensures the timely and accurate movement of stock, adherence to company procedures and safety regulations, and effective supervision of dispatch staff to optimize operational efficiency.

Key Responsibilities

Dispatch Operations

  • Ensure all Standard Operating Procedures (SOPs) are understood, regularly trained on, and followed within the dispatch function.
  • Plan and execute daily outbound stock dispatches to meet deadlines.
  • Allocate staff resources according to expected volumes to ensure efficiency.
  • Oversee the picking and preparation process to meet dispatch schedules.
  • Confirm availability of materials and equipment required for dispatch.
  • Monitor stock and packaging condition, observing specific product handling requirements.
  • Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods.
  • Coordinate with Value to resolve operational issues within 24 hours.
  • Arrange vehicle schedules to ensure timely dispatch.
  • Ensure correct loading and securement of goods prior to departure.
  • Maintain and update Work in Progress (WIP) reports and dispatch documentation accurately.
  • Analyse dispatch data to identify opportunities for operational improvements.

Staff Management

  • Lead and supervise dispatch team performance.
  • Plan resources effectively to meet daily operational demands.
  • Monitor and manage overtime, authorizing only when necessary.
  • Ensure all dispatch staff receive up-to-date training on processes and systems.

Quality, Health & Safety, and KPI Management

  • Communicate, track, and manage dispatch KPIs, reporting monthly to management.
  • Implement continuous improvement initiatives within dispatch operations.
  • Address potential issues proactively to avoid operational disruptions.
  • Ensure compliance with Quality Management System (QMS) procedures.
  • Raise and resolve Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) within five working days.
  • Maintain Occupational Health and Safety compliance and perform scheduled safety checks.
  • Uphold high standards of workplace cleanliness and organization.

MHE and Asset Management

  • Maintain security of the facility, stock, and assets in accordance with Loss Control policies.
  • Track and manage assets to ensure proper usage and upkeep.
  • Ensure all Material Handling Equipment (MHE) is used efficiently and responsibly.

Minimum Requirements

  • Grade 12 (Matric).
  • Diploma or degree in Logistics, Warehouse, or Business Management is advantageous.
  • Minimum 5 years’ experience in logistics or warehouse operations, with at least 2 years in a management role.

Skills and Competencies

  • Excellent communication skills.
  • Proficiency in Microsoft Office Suite and relevant warehouse systems (WMS, V7, My Business).
  • Strong attention to detail and problem-solving abilities.
  • Analytical and decision-making skills.
  • Leadership, management, and accountability capabilities.
  • Ability to identify and resolve operational discrepancies efficiently.
