Lease Assets & Property Coordinator
A dynamic opportunity is available for an experienced Lease Assets & Property Coordinator to manage residential property portfolios, leasing operations, housing services, utilities administration, and asset management within a large-scale facilities or mining environment. The successful candidate will be responsible for ensuring efficient property utilisation, regulatory compliance, tenant satisfaction, financial performance, and effective governance across multiple residential sites.
As a Lease Assets & Property Coordinator, you will play a critical role in overseeing the complete property and leasing lifecycle while ensuring housing assets are maintained, occupied efficiently, and managed according to organisational policies and industry standards. This position requires a proactive professional with strong leadership capabilities, commercial awareness, and the ability to coordinate multiple operational functions while maintaining high levels of service delivery.
Key Responsibilities
- Lead and supervise housing, leasing, inspections, property administration, and utilities teams to ensure operational excellence and accountability.
- Manage the full residential leasing lifecycle, including property allocations, tenant onboarding, lease renewals, relocations, occupancy management, and lease terminations.
- Coordinate housing administration activities to ensure efficient utilisation of residential assets and accommodation facilities.
- Ensure compliance with housing policies, lease agreements, property legislation, company procedures, and governance requirements.
- Monitor lease documentation and maintain accurate records of tenant agreements, occupancy levels, and property allocations.
- Develop and implement processes that improve property management efficiency, tenant satisfaction, and operational performance.
- Build and maintain positive relationships with tenants, landlords, clients, contractors, service providers, and other stakeholders.
- Address tenant concerns, disputes, and complaints in a professional and timely manner while ensuring effective conflict resolution.
- Manage collections processes and support engagements with legal representatives where required to address lease-related matters.
- Coordinate regular property inspections, condition assessments, occupancy audits, and compliance reviews.
- Identify maintenance requirements and collaborate with facilities teams to ensure properties remain safe, functional, and well-maintained.
- Monitor housing assets and implement asset preservation initiatives to protect property value and extend asset life cycles.
- Oversee utilities management functions, including billing administration, account monitoring, consumption tracking, and revenue collection activities.
- Implement cost-control strategies and identify opportunities to optimise utility expenditure and operational costs.
- Ensure all utility accounts are accurately maintained and reconciled in accordance with company procedures.
- Prepare and submit operational, financial, compliance, leasing, occupancy, and utilities reports.
- Maintain accurate information within property management systems and ensure data integrity across all records.
- Support budget planning, expenditure tracking, financial forecasting, and cost management activities.
- Identify operational, financial, compliance, and asset-related risks and implement mitigation measures where necessary.
- Ensure adherence to health and safety standards, municipal regulations, environmental requirements, and contractual obligations.
- Participate in continuous improvement initiatives aimed at enhancing service delivery, governance, and portfolio performance.
Minimum Requirements
- Grade 12 / Matric Certificate.
- Degree or Diploma in Property Management, Real Estate, Business Administration, Facilities Management, or a related field.
- Certification in Leasing, Property Law, Landlord-Tenant Law, or related disciplines will be advantageous.
- Minimum of 5 years’ experience in property management, housing administration, leasing coordination, facilities management, or residential portfolio management.
- Proven experience managing multi-site residential property portfolios.
- Strong understanding of lease agreements, housing regulations, property legislation, and municipal utility services.
- Experience managing tenant relations, occupancy planning, and property administration processes.
- Proficiency in Microsoft Office applications.
- Experience using property management systems such as Planon, SAP, Meter Systems, or similar platforms.
- Strong understanding of utilities billing, cost management, and reporting processes.
