We are seeking a detail-oriented and proactive Goods Receiving Supervisor to join our team at Cashbuild in Steelpoort. In this vital role, you will be instrumental in managing the efficient and accurate receiving and dispatch of stock, ensuring seamless operations between suppliers, stores, and the sales floor.

About the Role

Your primary responsibilities will include managing the inbound and outbound flow of stock to and from suppliers and other Cashbuild stores. You will be responsible for updating goods receiving vouchers accurately on the system and ensuring all stock is correctly labelled. A key aspect of this role is to facilitate the timely movement of received stock to the merchandising floor.

Key Responsibilities

Receiving and Internal Branch Transfers (IBT) Stock:

  • Ensure a second designated Cashbuild employee is always present during the receiving and/or dispatching of stock.
  • Receive stock from suppliers, meticulously identifying goods and physically balancing them against the supplier’s invoice/delivery note and Cashbuild’s purchase order.
  • Complete proof of delivery notes and ensure they are appropriately stamped before handing them back to the supplier.
  • Accurately capture all receiving information onto the IT system within prescribed time limits.
  • Verify that all invoices with discrepancies are amended, endorsed, and signed off by the supplier’s representative, and that the truck’s registration number is recorded on the invoice.
  • Process all inter-branch transfers (IBT’s) inbound and outbound within the set timeframe, ensuring no discrepancies and that all relevant documentation is correctly filed.

Stock Distribution:

  • Ensure that all stock received is cleared from the Goods Receiving Section (GRS) office and merchandised within the prescribed time limits of receiving it.

Stock Labelling and Pricing:

  • Label all stock received without a printed SKU on its packaging with the appropriate SKU on the back of the product.
  • Verify that printed SKUs are correct and rectify any identified errors.
  • Adhere strictly to Cashbuild’s pricing policy.
  • Action pending price changes according to the Cashbuild Way.

Supplier Claims and Corrections:

  • Validate all claims by attaching supplier pickup slips or credit notes to adjustment vouchers, which must be authorized by the Store Manager.
  • Ensure that any corrections made have the required documentation attached and are authorized by the Store Manager.
  • Supplier claims should only be initiated when stock is scheduled for immediate collection.

Security Awareness:

  • Never leave the receiving gate unattended when it is open.
  • Securely lock the receiving stamp and purchase order delivery book in a lockable cupboard or drawer.
  • Ensure the GRS office door is always locked when the office is not in use.
  • Monitor supplier truck crews to ensure they remain at their trucks and do not loiter around the store.

Ready for Business:

  • Maintain a consistently clean and tidy GRS office.
  • Keep the receiving area clear of excess and damaged stock, excluding items awaiting return to the supplier.
  • Adhere to all “Ready for Business” and “Beyond My Control” processes.

Customer Service:

  • Comply with the Cashbuild dress code at all times.
  • Ensure your name badge is displayed and visible throughout your shift.
  • Provide assistance with supplier queries.
  • Deliver exceptional customer service to any customer interactions within the GRS scope.

Safety and OHSA Requirements:

  • Ensure the first aid box is accessed only by the authorized first aid person or the Store Manager.
  • Maintain compliance with safety (OHASA) regulations within your area of responsibility.
  • Report any safety concerns promptly to the Store Manager.

Requirements

  • Grade 12 qualification plus one year of related experience, or a minimum of two years of directly relevant experience.
  • Ability to communicate effectively in English and, preferably, in the dominant language spoken in the local geographical area.
  • Above-average numeric skills.
  • Proven ability to provide exceptional customer service.
  • Demonstrated ability to work effectively under pressure.
  • Computer literacy is essential.
  • Willingness and ability to work shifts, including weekends.
