Job Overview
The Operations Supervisor is responsible for overseeing daily operational activities to ensure all customer requirements are met. This role focuses on planning, allocating, and monitoring resources such as staff, vehicles, equipment, and third-party services to maintain efficiency, service excellence, and customer satisfaction.

Key Responsibilities

Operational Planning and Coordination

  • Plan and coordinate daily operational requirements based on bookings and customer needs.
  • Allocate vehicles, cranes, and crews in line with operational schedules.
  • Arrange additional drivers and crew when required.
  • Conduct daily roll calls at operational sites.
  • Ensure all loads are secured, compliant, and ready for dispatch.
  • Dispatch vehicles and monitor progress throughout the day.
  • Communicate delays proactively to customers and management.
  • Maintain on-time delivery performance and reporting.
  • Ensure timely collection of vehicles and equipment.
  • Ensure drivers are provided with all necessary documentation for successful delivery.

Fleet and Equipment Control

  • Coordinate vehicle servicing and workshop bookings.
  • Ensure vehicles are sent for servicing as scheduled and follow up on progress.
  • Monitor vehicle condition daily, including tyres, oil, and general reliability.
  • Track COF expiry dates, licensing, and service history.
  • Ensure vehicles are available, compliant, and fit for operational requirements.
  • Maintain accurate vehicle records and ensure tools are registered.

Reporting and Debriefing

  • Conduct thorough debriefing according to procedures.
  • Complete and submit daily operational performance reports.
  • Manage and update WIP and workshop reports.

Breakdowns and Incidents

  • Ensure breakdown procedures are followed with proper escalation.
  • Report and record all incidents, including insurance-related matters.
  • Support investigations and implement corrective actions.

Customer Service and Relationship Management

  • Maintain high levels of customer satisfaction and service excellence.
  • Resolve operational queries and challenges efficiently.
  • Investigate complaints, implement corrective actions, and provide feedback.
  • Build and maintain strong customer relationships to support retention and growth.

Staff Supervision and Performance Management

  • Supervise daily staff activities and ensure effective task execution.
  • Optimize staff utilization and productivity.
  • Promote teamwork, discipline, and positive communication.
  • Ensure compliance with company policies, procedures, and dress code.
  • Monitor performance and implement corrective actions where necessary.
  • Support staff training, development, and compliance requirements.
  • Ensure staff medicals are valid and up to date.
  • Motivate and support team members consistently.

Compliance and Housekeeping

  • Ensure adherence to company policies, SOPs, and cartage procedures.
  • Maintain high housekeeping standards across all operational areas.
  • Ensure accurate record keeping, filing, and contract management.
  • Ensure contracts are completed, signed, and closed off within required timelines.

General Duties

  • Perform additional tasks as required by management in line with operational objectives.
  • Ensure compliance with HR policies, attendance, audit requirements, and standard operating procedures.

Minimum Requirements

  • Grade 12 (Matric).
  • Proficiency in Microsoft Office Suite (Intermediate level).
  • Minimum 2 years’ experience working with Embrace contracts module.
  • At least 2 years’ experience in transport planning.
  • Experience with crane trucks is advantageous.
