About the Program:

Purpose of the Job
The Parts Administrator is responsible for managing inventory, ensuring timely picking and issuing of parts, maintaining accurate stock records, and supporting workshop operations. This includes updating backorders, liaising with suppliers, conducting stock counts, and identifying slow-moving or obsolete stock. The role ensures the workshop has the necessary parts for scheduled maintenance while maintaining a clean and safe work environment.

Key Responsibilities

Operational

  • Pick and issue parts according to job cards.
  • Update backorder reports and submit to the Parts Manager.
  • Record and report daily stock-outs and ensure timely replenishment.
  • Ensure pre-booked parts are picked and purchased prior to scheduled vehicle maintenance.
  • Raise purchase orders for non-stock items or buy-outs as indicated on job cards.
  • Follow up with suppliers regarding deliveries and collections.
  • Ensure prompt issuance of received stock against job cards.
  • Conduct accurate cycle counts and full stock takes.
  • Track stock movement and monitor all transfers.
  • Identify slow-moving or obsolete items and notify the Parts Manager for deletion.
  • Monitor and process all credit returns.
  • Perform additional tasks as required within the Parts Department.

Housekeeping

  • Maintain a clean and organized work area.
  • Follow company housekeeping procedures to ensure a tidy environment.

Health and Safety

  • Adhere to all Value Logistics Health and Safety procedures and requirements.

General

  • Display strong interpersonal skills and work effectively with customers.
  • Work independently and take initiative in completing tasks.

Minimum Requirements

  • Grade 12 (Matric)
  • 2–5 years of parts or inventory experience
  • Computer literate with Embrace system experience
  • Good written and verbal communication skills
