Job Overview
The Workshop Processor supports new vehicle procurement operations by managing job card documentation, maintaining accurate records, and ensuring compliance with company standards. This role is essential in keeping workshop processes organized, efficient, and aligned with operational requirements.

Key Responsibilities

Vehicle and Fleet Processing

  • Capture Capex orders on internal control sheets and prepare documentation.
  • Maintain and update the WIP schedule daily for all new vehicles.
  • Request vehicle details from OEMs and submit new vehicle requests via internal systems.
  • Book vehicles for tracking and Certificate of Fitness (COF).
  • Track vehicle movements and locations using control spreadsheets.
  • Open and close job cards and orders related to new fleet vehicles.
  • Monitor trade plate movements and ensure accurate tracking.

Financial and Compliance Coordination

  • Prepare payment schedules and obtain internal audit approvals.
  • Process invoices related to vehicles and sub-serial components.
  • Compile and manage vehicle licensing schedules.
  • Request and manage fuel barcodes.

Quality and Technical Coordination

  • Liaise with internal departments including Panelshop, Branding, and Tyre divisions.
  • Coordinate quality control inspections with suppliers and technical advisors.

Documentation and Filing

  • Maintain organized and up-to-date filing systems for all vehicle documentation.
  • Ensure all records are accurately filed and easily accessible.

Job Card Monitoring

  • Assist with opening and closing tyre-related job cards on the system.
  • Maintain proper filing of tyre job cards and related documentation.

Survey and Data Capture

  • Capture tyre survey data into the relevant system accurately and timeously.

Minimum Requirements

  • Grade 12 (Matric).
  • Minimum 2 years’ experience in document processing and control within a workshop or similar environment.
  • Proficiency in Microsoft Office Suite (Intermediate level).
  • Administrative qualification is advantageous.

Skills and Competencies

  • Strong administrative and organizational skills.
  • Excellent record-keeping and documentation management abilities.
  • Experience working with ERP or workflow systems.
  • Effective communication and coordination skills.
  • Strong problem-solving capabilities.
  • Ability to work collaboratively within a team environment.
