The Team Assistant – 6 Month Contract – BB HC COE’s role is a critical support function within the Human Capital Centre of Excellence, responsible for delivering high-quality executive and team assistance to enable effective execution of strategic priorities. This position ensures seamless coordination of administrative processes, stakeholder engagement, and project support activities across the team.

As a Team Assistant – 6 Month Contract – BB HC COE’s, you will play a key role in streamlining operations, managing schedules, supporting meetings, and ensuring that all administrative and project-related tasks are completed accurately and on time. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Job Purpose

The primary purpose of the Team Assistant – 6 Month Contract – BB HC COE’s is to provide comprehensive administrative and coordination support to HC CoE Leads and their teams. This includes diary management, meeting coordination, project tracking, stakeholder engagement, and financial administration support to ensure smooth and efficient team operations.

Key Responsibilities

Administrative Support

  • Perform daily administrative tasks to support team operations efficiently
  • Coordinate and schedule meetings, ensuring timely preparation of agendas and materials
  • Take accurate and detailed minutes during meetings and distribute them as required
  • Maintain structured and secure record-keeping and document management systems
  • Continuously identify opportunities to improve administrative processes

Financial and Operational Administration

  • Manage end-to-end financial administrative processes including invoices and claims
  • Ensure timely approval, processing, and payment of financial documentation
  • Maintain accurate tracking of administrative and operational expenses
  • Support compliance with internal financial and operational procedures

Project Coordination and Support

  • Monitor project activities and track progress against defined objectives
  • Ensure project milestones and deliverables are achieved within agreed timelines
  • Support quality assurance by ensuring accuracy and consistency in project outputs
  • Assist in maintaining project documentation and status reporting
  • Identify and escalate risks or delays in project execution

Diary and Travel Management

  • Manage diaries for the Managing Executive and team members
  • Coordinate meeting schedules to ensure optimal time management
  • Arrange travel bookings, itineraries, and related logistics in a timely manner
  • Ensure all travel arrangements are accurate and aligned with business requirements

Stakeholder Engagement

  • Act as a key point of contact for internal and external stakeholders
  • Manage stakeholder expectations through clear communication and timely updates
  • Proactively engage stakeholders to provide progress updates and resolve queries
  • Ensure a high standard of stakeholder experience across all interactions

Collaboration and Team Support

  • Work closely with colleagues to support team goals and objectives
  • Share knowledge and insights to improve team efficiency and collaboration
  • Participate in team initiatives and contribute to continuous improvement efforts
  • Support cross-functional coordination within the Human Capital function

Quality Assurance and Confidentiality

  • Ensure all work outputs meet required quality and accuracy standards
  • Verify information for correctness before submission or distribution
  • Maintain strict confidentiality of sensitive and organizational information
  • Uphold professionalism and integrity in all administrative activities

Deadline Management and Problem Solving

  • Ensure timely completion of all assigned tasks and responsibilities
  • Communicate proactively when delays or challenges arise
  • Support problem-solving efforts by proposing practical solutions
  • Demonstrate adaptability and resilience in a dynamic work environment

Required Qualifications and Experience

  • Matric qualification (required)
  • Further Education and Training Certificate (FETC) in Business, Commerce, or Management Studies (required)
  • Advanced Diploma preferred
  • 1–3 years’ experience in an Executive Assistant or Team Assistant role
  • Prior experience working within Absa and familiarity with internal systems is essential
  • Experience in banking or financial services is an advantage
