We are seeking a meticulous and organized Goods Receiving Supervisor to join our team at Cashbuild in Holfontein. This role is critical to ensuring the smooth flow of inventory, from receiving goods from suppliers to preparing them for our sales floor. Key Responsibilities

Stock Management and Reconciliation:

  • Receive and dispatch stock to and from suppliers and other Cashbuild stores.
  • Accurately update goods receiving vouchers and label all incoming stock.
  • Ensure all received stock is promptly moved to the merchandising floor.
  • Collaborate with a designated Cashbuild employee during all receiving and dispatching activities.
  • Receive stock from suppliers, verify goods against supplier invoices, delivery notes, and Cashbuild purchase orders.
  • Complete proof of delivery notes, ensuring they are stamped and handed to the supplier.
  • Accurately capture all receiving data into the IT system within the prescribed timeframes.
  • Manage and resolve any invoice discrepancies, ensuring amendments are signed off by the supplier’s representative, and truck registration numbers are recorded.
  • Process all inter-branch transfers (IBTs) both inbound and outbound within set timelines, ensuring no discrepancies and that all documentation is properly filed.

Stock Distribution and Preparation:

  • Ensure received stock is cleared from the Goods Receiving Section (GRS) office and merchandised promptly.
  • Label all stock lacking SKU printing on its packaging, affixing the correct SKU to the back of the product.
  • Verify the accuracy of printed SKUs and rectify any errors.
  • Adhere to Cashbuild’s pricing policy and action pending price changes as per Cashbuild procedures.

Supplier Claims and Corrections:

  • Validate all supplier claims, ensuring attached pickup slips or credit notes accompany adjustment vouchers and are authorized by the Store Manager.
  • Ensure all corrections have the required documentation attached and authorized by the Store Manager.
  • Only initiate supplier claims when stock is scheduled for immediate collection.

Operational Efficiency and Security:

  • Maintain a secure receiving area by ensuring the receiving gate is not left unattended when open.
  • Securely store the receiving stamp and purchase order delivery book in a lockable cupboard or drawer.
  • Keep the GRS office door locked when not in use.
  • Ensure supplier truck crews remain at their vehicles and do not loiter around the store.
  • Maintain a clean and tidy GRS office at all times.
  • Clear the receiving area of excess and damaged stock, except for items awaiting return to the supplier.
  • Adhere to all “Ready for Business” and “Beyond My Control” processes.

Customer Service and Safety:

  • Adhere to the Cashbuild dress code and ensure your name badge is visible at all times.
  • Assist suppliers with any queries they may have.
  • Provide exceptional customer service to any external parties interacting with the GRS.
  • Ensure the first aid box is accessible only to authorized personnel or the Store Manager.
  • Maintain safety (OHASA) compliance within your area of responsibility.
  • Report any safety concerns to the Store Manager promptly.

Requirements

  • Grade 12 qualification plus 1 year of related experience, or a minimum of 2 years of relevant experience.
  • Strong communication skills in English; proficiency in the dominant language spoken in the geographical area is advantageous.
  • Above-average numeric skills.
  • Demonstrated ability to provide exceptional customer service.
  • Proven ability to perform effectively under pressure.
  • Computer literacy is essential.
  • Flexibility to work shifts, including weekends.
