Workshop Manager Opportunity at Value Logistics
Value Logistics is seeking a dedicated and experienced Workshop Manager to join our team. This pivotal role is responsible for optimising service, sales, and profitability by ensuring maximum productivity, efficiency, and customer satisfaction within the workshop environment.
Key Responsibilities
Staff Management
- Oversee staff time and attendance, productivity, and efficiency.
- Provide supervision and coaching to foster a customer-focused team.
- Ensure staff compliance with dress code and Personal Protective Equipment (PPE) requirements.
- Identify individual and team training and development needs.
- Conduct performance management reviews and appraisals.
- Lead regular staff meetings and feedback sessions.
Workshop Operations, Capacity Planning, and Work in Progress (WIP)
- Manage daily WIP planning effectively.
- Monitor and control workshop productivity and efficiency levels.
- Liaise daily with Service Advisors and the Parts department to guarantee parts availability for scheduled services.
- Ensure all vehicle servicing adheres strictly to Original Equipment (OE) service schedules and requirements.
- Guarantee smooth workshop operations and optimal utilisation of workshop resources.
Customer Service Levels
- Maintain consistent communication with internal and external customers regarding vehicle progress.
- Resolve customer complaints in a timely and effective manner.
Workshop Administration
- Ensure 100% accuracy in Embrace data input, including hour readings, job start/end dates, fault codes, and job types.
- Uphold all administration Standard Operating Procedures (SOPs).
- Accurately cost and close job cards.
- Verify that all necessary documents are attached to job cards, both manually and electronically.
- Manage the timely handover of job cards to the Isando filing room as per the monthly schedule.
- Obtain, process, and manage quotations from preferred suppliers for outsourced and outwork jobs.
- Sign off job cards according to established requirements.
- Ensure all recovery billing is accurately noted and invoiced to external customers.
Reporting
- Conduct daily reviews of open job card reports, investigating and ensuring only active WIP job cards remain open.
- Report any WIP status updates to management.
- Perform daily reviews of open purchase order reports, investigating and ensuring only active WIP orders are open.
- Submit all required reports to management within agreed timelines.
Asset Management
- Manage and maintain all company assets diligently.
- Report any losses or damage to company assets to management promptly.
- Initiate asset disposal requests in accordance with SOPs and authority schedules.
Recoveries and Warranty Claims
- Ensure strict adherence to correct recovery and warranty claim processes.
Financial Management
- Manage workshop operations cost-effectively, adhering to workshop budgets.
- Provide profit and loss statements as requested.
Quality Standards
- Ensure the workshop is equipped with the correct tools and equipment for all tasks.
- Conduct frequent spot checks to verify that required service standards are consistently met.
Apprentice Programme
- Oversee the national apprentice programme across all workshops.
General Duties
- Maintain professional conduct at all times.
- Assist with relevant operational functions as needed.
- Ensure adherence to company SOPs regarding dress code.
- Maintain high housekeeping standards on a daily basis.
- Uphold Health and Safety standards within the workshop.
Minimum Requirements
- Grade 12 (Matric) qualification.
- 3-5 years of experience in a Workshop or Field Service Management role.
- A diesel mechanic qualification would be considered an advantage.
