Purpose of the Job
Drive service excellence, maximise sales, and improve profitability by ensuring optimal productivity, efficiency, and customer satisfaction across all workshop operations.

Key Responsibilities

Staff Management

  • Oversee staff time, attendance, productivity, and efficiency.
  • Coach and supervise staff to maintain a customer-focused environment.
  • Ensure adherence to dress code and PPE requirements.
  • Identify training needs and support staff development.
  • Conduct performance reviews and appraisals as required.
  • Hold regular staff meetings and provide constructive feedback.

Workshop Operations, Capacity Planning & WIP

  • Plan daily work in progress (WIP) and allocate resources effectively.
  • Monitor workshop productivity and operational efficiency.
  • Coordinate with Service Advisors and Parts department to ensure parts availability.
  • Ensure all vehicles are serviced in line with OE schedules and requirements.
  • Maintain smooth workshop operations with optimal resource utilization.

Customer Service Levels

  • Keep internal and external customers updated on vehicle progress.
  • Resolve customer complaints promptly and professionally.

Workshop Administration

  • Ensure accurate Embrace data input including hours, job start/end dates, fault codes, and job types.
  • Adhere to all administration SOPs and ensure correct job card costing and closure.
  • Attach required documents to job cards both manually and electronically.
  • Follow monthly job card handover schedules.
  • Process quotations from preferred suppliers for outsourced jobs timely.
  • Approve job cards according to requirements.
  • Ensure all recovery billing is recorded and invoiced to external customers.

Reports

  • Generate daily WIP and purchase order reports and investigate discrepancies.
  • Submit all required reports to management on schedule.

Asset Management

  • Manage and maintain company assets and report any losses or damages.
  • Request asset disposal in line with SOP and authority schedules.

Recoveries & Warranty Claims

  • Ensure proper recovery and warranty claim processes are followed.

Financials/Budget

  • Manage workshop operations cost-effectively within the approved budget.
  • Report on profit and loss statements as required.

Quality Standards

  • Ensure availability of correct tools and equipment for all jobs.
  • Conduct regular spot checks to maintain service quality standards.

Apprentice Programme

  • Manage the apprentice programme for all workshops nationally.

General

  • Maintain professional conduct and support operational functions as needed.
  • Enforce dress code in line with company SOPs.
  • Maintain daily housekeeping and Health & Safety standards.

Minimum Requirements

  • Grade 12 (Matric)
  • 3–5 years of Workshop or Field Service Management experience
  • Diesel mechanic qualification advantageous
