Dispatch Supervisor at Value Logistics
Value Logistics is seeking an experienced and proactive Dispatch Supervisor to lead our dispatch operations. This critical role involves overseeing all aspects of stock movement and outbound logistics, ensuring the timely, accurate, and safe dispatch of goods while maintaining strict adherence to company procedures and safety regulations. The ideal candidate will be adept at managing a team, monitoring performance against key metrics, and driving operational efficiency and continuous improvement.
Key Responsibilities
Operational Excellence & Process Management
- Champion adherence to all Standard Operating Procedures (SOPs) within the dispatch function, including regular training and reinforcement.
- Leverage all relevant business systems to effectively manage and monitor dispatch processes.
- Plan and execute daily outbound stock dispatches, ensuring all time deadlines are met.
- Conduct efficient resource planning for staff based on anticipated volumes to maximise operational efficiency.
- Oversee and coordinate the picking process to ensure timely dispatch.
- Confirm the availability of all necessary materials and equipment for dispatch activities.
- Maintain the integrity of stock and packaging, observing specific product handling requirements.
- Investigate and resolve any discrepancies related to documentation, vehicles, seals, or dispatched goods.
- Collaborate effectively with Value Logistics on arising issues, ensuring prompt resolution within 24 hours.
- Coordinate vehicle arrangements to facilitate timely dispatch.
- Manage the handover process of stock to other departments or operations as per system requirements.
- Ensure correct loading procedures and securement of goods prior to vehicle departure.
- Manage and update the Work in Progress (WIP) report daily.
- Maintain accurate and up-to-date filing of all dispatch documentation.
- Monitor, maintain, and act upon dispatch reports, communicating outcomes to relevant managers.
- Analyse dispatch data to identify opportunities and implement improvements.
Staff Management
- Lead and supervise the performance of dispatch staff.
- Execute efficient resource planning to meet daily operational demands.
- Monitor and minimise overtime, authorising it only when absolutely essential.
- Ensure all dispatch staff receive appropriate and up-to-date training.
Quality, Health & Safety, and KPI Management
- Ensure dispatch KPIs are clearly communicated, tracked, managed, and reported on a monthly basis.
- Promote and implement continuous improvement initiatives within dispatch operations.
- Proactively address potential issues before they escalate.
- Ensure compliance with Quality Management System (QMS) procedures.
- Facilitate the timely raising and resolution of Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs), aiming for closure within five working days.
- Monitor and maintain QMS objectives and targets.
- Uphold Occupational Health and Safety Act requirements and ensure all scheduled safety checks are completed.
- Maintain high standards of workplace cleanliness and orderliness.
MHE and Asset Management
- Ensure the security of the facility, stock, and assets in line with Loss Control policies.
- Maintain and track assets, ensuring proper utilisation and upkeep.
- Ensure all Material Handling Equipment (MHE) is used efficiently and responsibly.
Minimum Requirements
- Grade 12 (Matric) qualification.
- A Logistics, Warehouse, or Business Management diploma/degree is beneficial.
- A minimum of 5 years of experience within the logistics/warehouse industry, with at least 2 of those years in a supervisory or management capacity.
Skills Requirements
