Job Overview
A detail-oriented and proactive Purchasing Coordinator is required to manage procurement processes and vendor relationships within a fast-paced Sales and Marketing environment. The successful candidate will oversee the full procurement cycle, ensuring all goods are sourced and delivered in full and on time (DIFOT), while maintaining clear communication with internal stakeholders and suppliers.
Key Responsibilities
- Convert approved sales orders into purchase orders within the ERP system
- Communicate with suppliers to request quotations, confirm pricing, and secure order confirmations
- Monitor supplier production timelines and follow up to ensure deadlines are met
- Coordinate with logistics teams for dispatch, shipping documentation, and customs clearance
- Provide regular updates to sales, operations, and management on order progress, delays, and risks
- Track open sales orders to ensure delivery in full and on time (DIFOT)
- Resolve and escalate issues related to delays, shortages, or discrepancies
- Maintain accurate procurement and order records using systems such as Odoo
Minimum Requirements
- 2–4 years of experience in procurement, supply chain, or order coordination
- Experience with import/export processes is advantageous
- Strong vendor management and communication skills
- Experience working with ERP systems
- Knowledge of shipping processes, incoterms, and customs documentation
- Ability to work under pressure and meet strict deadlines
