An exciting leadership opportunity is available for an experienced Hub Manager to oversee the operations of a central procurement hub supporting multiple healthcare and business facilities. The successful candidate will be responsible for managing procurement, stock control, financial administration, supplier coordination, and operational processes while ensuring compliance, efficiency, and service excellence across all supported sites.

As a Hub Manager, you will lead a team of administrators and operational personnel responsible for maintaining procurement continuity, stock integrity, financial accuracy, and effective system management. This role requires a highly organized and results-driven professional with strong leadership skills, extensive procurement experience, and the ability to drive operational improvements in a fast-paced environment.

The position plays a critical role in ensuring that procurement and supply chain activities are executed efficiently, governance requirements are maintained, and business objectives are achieved through effective coordination with stakeholders, suppliers, finance teams, and operational units.

Key Responsibilities

Leadership and Team Management

  • Lead, manage, mentor, and develop the procurement hub team to ensure high performance and accountability.
  • Foster a culture of professionalism, collaboration, continuous improvement, and operational excellence.
  • Conduct performance monitoring, coaching, training, and development initiatives for team members.
  • Ensure all staff understand and adhere to procurement procedures, financial controls, and company policies.
  • Promote effective communication between departments and stakeholders to support operational efficiency.
  • Drive employee engagement and encourage innovative solutions to improve workflow and service delivery.

Procurement Management

  • Oversee daily procurement activities, including requisition processing, purchase order management, and supplier coordination.
  • Ensure all procurement transactions are processed accurately and within approved timelines.
  • Approve and issue purchase orders for facilities and departments requiring procurement support.
  • Monitor supplier performance and maintain strong working relationships with vendors and service providers.
  • Investigate and resolve pricing discrepancies, quantity variances, and procurement-related issues.
  • Ensure continuity of supply by coordinating effectively with suppliers, operational units, and internal stakeholders.
  • Maintain compliance with procurement policies, governance requirements, and contractual obligations.
  • Monitor procurement processes to ensure accuracy, transparency, and cost-effectiveness.

Stock Control and Inventory Management

  • Oversee stock management processes to ensure optimal inventory levels are maintained at all times.
  • Monitor stock integrity and implement controls to minimize losses, shortages, and operational disruptions.
  • Ensure pre-stock count system checks are completed accurately before inventory activities commence.
  • Coordinate the preparation, distribution, and management of stock count documentation.
  • Review inventory variance reports and investigate discrepancies to identify root causes and corrective actions.
  • Approve stock count adjustments and ensure all supporting documentation is properly maintained.
  • Monitor inventory trends and provide recommendations to improve stock management efficiency.
  • Ensure trade periods and invoice periods are opened and closed accurately according to established schedules.

Financial Management and Administration

  • Oversee financial administration activities within the procurement hub to ensure compliance and accuracy.
  • Monitor daily financial transactions, reconciliations, and reporting processes.
  • Ensure accurate recording of cash transactions, banking information, revenue data, and financial documentation.
  • Support financial planning initiatives through analysis of procurement and operational data.
  • Maintain trade period calendars and ensure adherence to reporting deadlines.
  • Monitor expenditure and identify opportunities for cost savings and improved financial performance.
  • Collaborate with finance teams to resolve discrepancies and ensure data accuracy.
  • Ensure all financial records are maintained in accordance with organizational standards and audit requirements.

Operational Excellence and Compliance

  • Ensure smooth day-to-day operations of the procurement hub while maintaining high service standards.
  • Develop and implement standard operating procedures that improve efficiency and consistency.
  • Monitor operational performance and identify opportunities for process optimization.
  • Ensure compliance with procurement regulations, company policies, and internal governance requirements.
  • Maintain accurate records, documentation, and system data to support operational transparency.
  • Coordinate with procurement, finance, deployment, and operational teams to ensure seamless business operations.
  • Identify operational risks and implement effective mitigation strategies.
  • Support audit activities and ensure readiness for internal and external compliance reviews.

Minimum Requirements

  • Minimum of 8 to 10 years of experience in procurement, supply chain management, inventory control, or related operational environments.
  • Proven supervisory or managerial experience in a high-volume procurement or supply chain setting.
  • Qualification in Supply Chain Management, Procurement, Business Administration, Finance, Logistics, or a related discipline will be advantageous.
  • Strong experience working with Purchase-to-Pay (P2P) systems.
  • Experience using Wanama or similar procurement systems will be highly beneficial.
  • Demonstrated experience in stock control, inventory management, and financial administration.
  • Strong understanding of procurement governance and supply chain best practices.
